The Lycée Français Charles de Gaulle de Londres recruits a CIO Team Assistant - Part Time, Fixed Term Contract.

Position to be filled from: 26th September 2022 until 14th July 2023

Lycée Français Charles de Gaulle wishes to recruit an enthusiastic and energetic team assistant who will be instrumental in the day-to-day running of the service, supporting the Career Advisers, administering the application processes and the statistical reporting as well as being the key coordinator of the annual careers fair. Reporting to the Head of Careers, the successful candidate will be highly organised and able to communicate effectively in English and French and have the ability to work with and manage large amounts of data and multitask. The team consists of 2 bilingual advisers, 1 UK and US applications administrator and 1 team assistant.

Role and Key Responsibilities:

  1. Key co-ordinator in the organisation of the Career and Higher Education Fair and other career events, working with the Careers’ Advisers and the parents’ association. This includes creating events, inviting delegates, attending meetings, managing bookings for hotels and transport for delegates; creating feedback surveys and ensuring events run optimally on the day.
  2. Creating and maintaining application and predicted grades databases, ensuring that all data is collated efficiently and accurately.
  3. Producing relevant statistics and reports to help drive improvements, in particular those relevant to application, offers, destinations and predicted grades.
  4. Working closely with the UCAS and USA administrator to process the applications to the UK and USA (approximately up to 300 a year) and other destinations.
  5. Helping to prepare the careers education calendar.
  6. Administrative tasks related to the services delivered by the department including being the first point of call, booking appointments, assisting with the production and updating of relevant guidelines and instructions for pupils and staff as required, administration of careers guidance tests for students, maintenance of the careers and university prospectus library and updating the website and the school intranet (Pronote) with careers information.
  7. Supporting the Career Advisers as required.

Expected Skills and Knowledge:

  • Fluent in English with a good understanding of French, you have very good interpersonal skills and excellent spoken and written communication skills
  • Excellent computer skills (proficient in Excel, Word and mail merge and Google tools) and ability to learn new MIS software quickly (Pronote)
  • Rigorous with an excellent eye for details and have strong methodology/organisational and problem-solving skills.
  • Reliable and pro-active and capable of working efficiently, independently and as part of a team, with a great sense of customer service.
  • Preparedness to follow ethical codes that protect the confidentiality of information
  • Flexibility in terms of duties and changes to hours of work dependent on business need and ability to work well under pressure.
  • An understanding of the UCAS and USA application process is desirable but not essential.
  • Attention to detail, organisation, self-motivation, team spirit, patience, availability and discretion are essential qualities.

Working hours per year: 30h per week (1200h per annum pro-rata)

Location: South Kensington (London)

Monthly gross salary and benefits:

  • £1,902 pm including all allowances
  • Employer contribution to private healthcare
  • 15% employer contribution to private pension
  • 60 days holiday per annum (pro-rata)
