The Lycée wishes to recruit an enthusiastic and energetic team assistant who will be instrumental in the day-to-day running of the Career Department, supporting the Career Advisers, administering the application processes and the statistical reporting as well as being the key coordinator of the annual Higher Education Fair.

Contract: Part time fixed term contract from 1st September 2020 to 31st January 2021

About the Department and its team:

The primary task of the Careers Department (Centre d'Information et d'Orientation) is to provide impartial advice, guidance, information and support to the pupils and their carers from Years 9 to 13. The department is also responsible for coordinating and administering the Higher Education applications to France, UK and USA and other destinations throughout the world.

The team consists of 2 bilingual career advisers, 1 UCAS and US applications administrator and 1 team assistant.

The team assistant will report to the Head of Careers.

Key duties:

  • Assisting in the organisation of the Higher Education Fair and other career events, working with the Career Advisers and the parents' association. This includes creating events, inviting delegates, attending meetings, managing bookings for hotels and transport for delegates; creating feedback surveys and ensuring events run optimally on the day.
  • Manage the careers calendar and booking in student meetings with the advisers and overseeing the day-to-day running of the service
  • Working closely with the UCAS and USA administrator to process the applications to the UK and USA (approximately up to 300 a year) and other destinations
  • Producing relevant statistics and reports, and being responsible for putting careers' information and communications on the website and school intranet (Pronote) and noticeboards
  • Booking facilities, catering, rooms and equipment
  • Maintenance of the careers and university prospectus library
  • Supporting the Career Advisers as required

Key skills:

  • Bilingual English and French, with excellent written English
  • Excellent interpersonal skills, with ability to communicate with tact and patience at all levels
  • Ability to plan coherently, and prioritise workload to meet deadlines
  • Proficiency with computer applications such as MS Office and in particular Excel
  • Preparedness to follow ethical codes that protect the confidentiality of information
  • Willingness to take direction and respond positively to feedback
  • Flexibility in terms of duties and changes to hours of work dependent on business need and ability to work well under pressure

 

Gross monthly salary: £1,861.80 (all allowances included)

Working hours: 30h/week, 1200h/year prorata temporis

Location: South Kensington (London)
